Refund policy

At Heritage Diesel Surplus Parts Inc., we take pride in sourcing high-quality, hard-to-find surplus parts to keep your equipment running. Because our surplus inventory is unique and limited, all sales are generally final.

We want to make sure you get exactly what you need! We highly encourage you to double-check your part numbers and specifications before checking out. If you ever have a question about compatibility, just reach out—we’re always happy to help you verify details before you buy.

When Exceptions Apply

While our standard policy is final sale, our team reviews exceptions on a case-by-case basis (such as if we made a mistake with a description or shipped the wrong item).

If we authorize an exception for a return, we ask that you follow these steps:

1. Requesting a Return (RMA Process)

  • Reach Out Early: Please contact us within 14 days of delivery to request a return.

  • Get Your RMA: All authorized returns require a Return Merchandise Authorization (RMA) number. Please make sure this number is clearly written on the outside of your package so our team can track it.

  • Item Condition: To qualify for a refund, parts must be returned in their original packaging and in "as-sold" condition. We cannot accept parts that show signs of grease, bolt marks, or attempted installation.

2. Items We Cannot Accept Back

Due to the delicate nature of certain surplus components, we cannot accept returns or offer credit on the following items under any circumstances:

  • Electrical Components: (e.g., sensors, ECMs, solenoids, and wiring harnesses)

  • Gaskets & Seals: Items easily compromised by handling or exposure.

  • Installed Parts: Any part that has been mounted, used, or "test-fitted."

  • Clearance/Discontinued Items: Anything marked as "Final Sale" at checkout.

3. Shipping Your Return

  • Return Shipping: Unless we made an error on your order, the customer is responsible for return shipping costs, including any applicable duties, taxes, or brokerage fees.

  • Protect Your Shipment: We highly recommend using a trackable shipping service and purchasing shipping insurance. We want to ensure your return arrives safely, as we cannot be responsible for items lost or damaged in transit.

  • Original Shipping: Original shipping and handling charges are non-refundable, except in cases where Heritage Diesel made an error.

4. Restocking Fees

Authorized returns are subject to a 20% restocking fee.

Why the fee? This covers the technical inspection, verification of part integrity, and administrative care required to safely return specialized surplus components to our inventory. This fee is completely waived if the return is due to a documented seller error.

5. Processing Your Refund

Once your return arrives at our facility, our team will promptly inspect the part. If approved, your refund (minus the restocking fee and original shipping) will be credited back to your original payment method within 7–10 business days.
